Making a Log Book entry

There are several data fields that can be filled when making a log entry, but only three (3) are required. The important fields are:

  • Who is making the entry
  • What time the event occurred
  • The Log Entry itself

The Shift Log entry form will automatically select the Floor Coordinator field based upon who has logged into the system. If you access the Shift Log from another Floor Coordinator's computer, be sure to change this field to select your name.

The entry form will also put the current time in the Timestamp field. If the event that you are recording happened several hours earlier, this field can be edited to reflect that. Changing this field allows the event to be placed in its correct chronological order when the Shift Log entries are displayed.

The last required field is the Shift Log Entry itself. This text area is where you would detail the information you wish to record. It is important to be as accurate as possible while remembering that this information is publicly viewed. Once an entry is recorded, it cannot be altered. However, the Shift Log does have a feature in which more information can be appended to an existing entry.

The other fields, when used, allow others to search for information at a later time. Not all Shift Log entries will pertain to a certain Sector or System (or any other data field). However, it is easy to use the shift log Search to find the entries that are specific to one category or another.

For example, if someone is interested in finding only the entries pertaining to the "PSS", they can select this category on the Search page and have the data displayed for them.

The RMD Report number, Work Request Number, and Downtime Report Number are the final fields. These help associate shift log entries with trouble reports, work requests, and beamline downtime records. The report and request numbers can be entered here in the shift log, to provide quick links to other databases from the shift log.

The Shift Log form has been recreated here to demonstrate the various fields that can be selected. Take a moment to familiarize yourself with it.
